This case study presents the current state of Merck’s Clinical Trial Portal, decision points for and experience with Merck’s initial portal deployment for Phase II to III studies. Also to be discussed at a high level are the future plans to extend Portal capabilities.

Enhancing Content and Business Process Management with Clinical Trial Portals

Sarah Cannon Research Institute (SCRI) offers management, regulatory and other research support services to drug development sponsors and strategic investigator sites across the country.  Using a SharePoint-based clinical trial portal, SCRI has successfully migrated from a folder based content management approach to a metadata driven system leveraging content types and views to enhance access to documents.  Additionally, they have been able to leverage Metastorm’s Business Process Management system integrated with SharePoint to streamline many of their clinical trial management tasks.  During this session, SCRI will demonstrate and discuss how their ‘MySCRI’ portal has improved the way they manage clinical trials.

The Unconventional Approach to SharePoint

Several groups within Merck’s Discovery and Pre-Clinical Sciences (DPS) approached the Informatics group with a number of ‘small’ projects which would fill some unmet business needs.  After exploring a number of possibilities, including a build from scratch approach, we found that a custom SharePoint Solution would provide the greatest opportunity for scalability and future integration.

  1. An overview of the business needs and financial factors that led Merck Discovery Research to embracing the SharePoint 2007 product. How the needs of research units resulted in a "never say no" approach to SharePoint forcing us to relax the standard enterprise rules to meet the business needs. Outline how this approach allowed us to achieve our goal of maximizing productivity, communication and collaboration while reducing the duplicate efforts within Merck Research Labs.
  2. For this implementation we decided to use SharePoint as a standalone application verses a set of application building blocks. We will present the need for a small SharePoint environment outside of the corporate farm and explore the inherent risks it involves for things like system availability.  We will also present the implications of building applications around SharePoint as opposed to within it.
  3. We will offer up a case study of the Material Transfer Request and Informed Consent Negotiations applications designed and developed by Merck. Lessons learned while developing these applications as well as some product limitations we found while developing in SharePoint 2007.
  4. We will end with a discussion of the business factors that could affect a SharePoint application design or implementation.

Observed SharePoint Behavior in R&D: SharePoint Owner View vs. SharePoint Customer View
J&J Pharma is a matrix organization with Therapeutic Areas (TA) and Centers of Excellence collaborating to deliver transformational patient solutions. Within the Immunology TA, the Research division is responsible for identifying innovative therapeutic mechanisms and partnering to discover & develop drugs. To manage this complexity we, the Strategy & Business Planning team, use SharePoint to manage day-to-day Scientific and Operational processes and to create a collaborative space to facilitate information exchange. Over the past year, we, the SharePoint owners, were successful in creating a quality system for managing the day to day processes, as indicated by our use and integration of SharePoint. However, the customer view, as observed by their SharePoint behavior, would suggest we were not as successful in creating a customer friendly space to meet their needs. This presentation will illustrate the owner and customer perspective on several key functionalities within our SharePoint site. In addition, the presentation will highlight the owner response to the customer view in the presented examples.

While many pharmaceutical organizations are already beginning to migrate to SharePoint 2010, many others are just beginning to evaluate its new features and functionality.  Therefore, Microsoft will demonstrate some of the new capabilities of SharePoint 2010 and discuss how they work together to help companies quickly respond to changing business needs.  In addition, Microsoft and various early adopters will discuss some of the key decisions and considerations involved with migrating from MOSS 2007 to SharePoint 2010.
